This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Construction Project Operations Coordinator based in United Kingdom.
This remote contractor role supports the day-to-day coordination and administration of construction and energy-efficiency projects. You will track projects from active status through scheduling, documentation, state submissions, and final closeout. The position combines project coordination, CRM management, documentation review, task follow-up, and workflow administration. You will work across multiple projects, ensuring information is accurate, required actions are completed, and issues are escalated when needed. Construction or home-services experience is particularly valuable for understanding scopes, contracts, work orders, and project milestones. The role offers a structured, process-driven environment with opportunities to contribute directly to operational efficiency and service delivery.
Accountabilities
Review active construction projects individually to determine current status, outstanding actions, and appropriate next steps.
Identify delayed projects, missing information, incomplete documentation, and unresolved tasks, escalating issues when management involvement is required.
Review contracts, approvals, project notes, scopes of work, and supporting documentation for completeness and consistency.
Create and monitor tasks for internal team members, following up on outstanding assignments and maintaining visibility across the project portfolio.
Create work orders when projects reach the appropriate stage and support the scheduling of approved construction work.
Track signed contracts, pre-work requirements, project milestones, and other conditions required before work can proceed.
Enter and update project information within the relevant New York State program platform, following established processing requirements.
Ensure information submitted through state systems accurately matches internal CRM records.
Review completed projects for required closeout materials, including photographs, completion documentation, customer attestations, and supporting records.
Prepare and submit completed project information for state review and payment, tracking submissions through resolution of any corrections or issues.
Maintain accurate project records in Zoho CRM, ensuring documentation, notes, status information, and state-system records remain aligned.
Organize project files and supporting documentation while identifying discrepancies or missing information rather than simply entering data.
Coordinate effectively across office staff and project teams to keep projects moving according to agreed timelines and requirements.
Requirements
Previous experience in project coordination, operations, project management, or business support is required.
Construction, home-services, construction administration, or project closeout experience is strongly preferred.
Experience reviewing contracts, scopes of work, work orders, project documentation, or similar operational records is highly valuable.
Proven experience working with CRM systems and maintaining accurate project or customer records.
Strong documentation, data-entry, and information-management skills, with excellent attention to detail.
Experience managing and tracking multiple active projects or workflows simultaneously.
Strong task-management, follow-up, prioritization, and organizational abilities.
Ability to understand project status, identify logical next steps, and proactively flag discrepancies or potential delays.
Comfortable coordinating work across multiple stakeholders and following up with team members to keep activities on schedule.
Strong written and spoken English, with near-native or native-level communication skills preferred.
Experience with government programs, utility programs, energy-efficiency initiatives, or other regulated workflows is an advantage.
Comfortable learning detailed procedures, compliance requirements, and client-specific systems.
Proficiency with Zoho CRM, Microsoft Excel or Google Sheets, Microsoft Office or Google Workspace, and document/file management platforms is expected.
Familiarity with New York State program platforms is helpful, with client-specific training provided.
Reliable, process-driven, independent, and comfortable working in a remote environment.
